A new, efficient intranet for Schwyzer Kantonalbank
For an intranet solution to be efficient and user-friendly, it must be planned in close cooperation with the people who are actually going to use it. ELCA therefore did not start the process with the IT managers from Schwyzer Kantonalbank (SZKB), but with the users.
A good intranet is more than just storage for operational information. It facilitates communication and data exchange among employees, provides an overview of ongoing processes, makes internal tools available and thus facilitates efficient collaboration in the digital workplace, which brings these aspects together. To ensure that the technical facilities are actually used, access must be intuitive and all relevant contents must be rapidly available.
Achieving all this is a challenge that cannot be underestimated. A team from ELCA tackled this task and in early 2015 began to replace the existing intranet solution used by SZKB, which was based on Microsoft FrontPage. It was clear from the start that the new intranet was to be set up on the basis of the existing SharePoint 2013 environment; however, the structure, contents and user roles were not yet defined.
The specialists from ELCA ensured that, where possible, intranet users are only shown content that is relevant to them, and that they can collaborate as efficiently as possible in team and project areas.
Flexible starting phase
There is no standard solution for such processes. On the contrary, the habits of the users and the existing work processes must be analyzed, checked for suitability and then combined with the requirements for the future. In order to achieve this, extensive workshops were conducted, starting in February 2015, in which expectations were established and goals defined. It was possible to define and visualize work processes on the basis of these results, which subsequently were an integral part of the technical implementation.
An important component of the project was the grouping of processes into teams and projects. The specialists from ELCA ensured that, where possible, intranet users are only shown content that is relevant to them, and that they can collaborate as efficiently as possible in team and project areas. Authors, on the other hand, manage the intranet by recording new content (such as news) and publishing it. The new digital workplace also supports the staff in their everyday work with helpful tools and automated processes based on Nintex. Authorization procedures protecting sensitive content were developed together with the SZKB team and are of paramount importance for a bank.
However, user satisfaction is not only dependent on the intelligent linking of contents and the display of relevant information – the end user expects a user-friendly, informative and appealing design. ELCA therefore collaborated with the renowned communications agency Dachcom to optimize the intranet’s look and feel.
Thanks to the excellent advice and preparation by ELCA, SZKB was able, to a large extent, to migrate to the new intranet solution independently. The SZKB employees have been using the new intranet solution since February 2016, and it has been a success.
